Importing data to GHG123

If your user profile allows it, you have access to forms that are set up for importing data. These have “import” as part of the form name, for example “Energy consumption import.”

The process for importing is the same regardless of which form you want to import into.

Instructions

Select the correct import form from the menu.

Select “Import data.”

You will then see a dedicated import form with the following sections:

A: File selection: Select the correct file for import.

B: Number of rows: You can choose to import the entire file or only parts of it. This is a useful feature if you have large data volumes or have made changes to only some rows.

C: Skip calculation: If you have large data volumes, you can choose to postpone calculation until after the data has been imported. You can then start the calculation afterward by selecting “Batch operations” from the [More] button in the transaction list.

D: Create template: By clicking this button, you will receive an Excel template showing which columns the import file must contain.
· Columns that are grayed out are system-generated and must not be filled in.
· Columns in bold are mandatory.
· Columns in normal text are optional.

E: [Validate]: Click this button if you want to validate that the file has the correct format before importing.

F: [Import]: Click this button to import after selecting the file.

If there is already data in the transaction list, you can export this data to see the format that is used. This is done by selecting “Export data” from the [More] button.

When creating the import file, there is a column called “ExtId” on the far right. This is used to identify the row, so you can use, for example, an ID from an external source system. This could be a combination of meter number and date, invoice number and line, or something else that makes the line uniquely identifiable. It is important to understand this column, because if you want to import changes, the ExtId must match the previously imported line.

When the file has finished importing, a status message will be displayed with any error messages or a message indicating that the file was successfully imported without errors.

Close the import window and return to the transaction table, then click the refresh icon.

The import is now complete and the transactions will appear in the transaction table.

Troubleshooting tips if you encounter problems:

  • Check that the date is correct (for example, that you are not trying to import data dated February 30).

  • Check that you are importing to data points that exist and that they are not misspelled.

  • Check that you have included all mandatory fields (in the example above, Energy type is mandatory).

  • Check that the ExtId is unique (otherwise you will overwrite the transaction that already has that ExtId).
